Dear York College Community,
We have important updates from York College Information Technology Services that you should be aware of. These updates cover key areas such as Cybersecurity, Business Intelligence, and Network Infrastructure.
The initiatives and activity updates reflect our ongoing commitment to improving campus cybersecurity, strengthening our network infrastructure, and enhancing our services to meet the evolving needs of our community.
Start of Semester Activities
At the Welcome Center, we’ve added three new Qless kiosks, bringing the total to five. These were particularly helpful during high-traffic periods in the Atrium.
At the start of classes, we assisted 25 faculty members at our new pop-up IT Support area. The feedback was positive, and we plan to use this setup again, as it allowed us to focus on faculty support without disrupting student services.
In the same period, the Service Desk managed over 1,000 incidents and requests, not including the many support calls we received. Meanwhile, our Cybersecurity team mitigated over 6,000 threats, and the PC Support team deployed a few hundred replacement desktops in high-need areas.
Our computer refresh program continues to progress, and we expect another wave of new systems in the coming months, aligning with the school schedule for students, faculty, and staff.
The Web team is also making improvements to the York College website, and we’re excited to announce the start of our AI project. This internal initiative aims to bring AI technology to York College in a secure and responsible way, ensuring the protection of non-public University data while maintaining cybersecurity protocols. We're currently in the procurement phase and will provide more details in the coming weeks.
York Web Site Navigation
We’ve made several updates to the website’s navigation to improve accessibility and address user feedback. These changes are aimed at making it easier for users to find the information they need.
For a detailed list of the updates, *please see below.
Firewall Best Practice Adoption
York College, in cooperation with CUNY Central security initiatives, has strengthened our firewall security by adopting new metrics aligned with recommended best practices. This effort aims to enhance the protection of personal and institutional data from cyber threats.
Our Networking team has worked diligently over the past month to ensure compliance, and we are pleased to report a passing grade for the third-quarter reporting period.
Mazevo – Events Management System
Campus events play a vital role in student engagement and are essential for bringing our community together. They also provide critical revenue through space rentals, which support the financial health of the institution.
We’re excited to announce the acquisition of the Mazevo event management system. This comprehensive room scheduling software will help organize events by managing bookings, room setups, AV needs, and even catering. It will improve event scheduling and communication between teams and clients, both internal and external.
The system is currently being configured and tested. Central is assisting with the single sign-on feature, allowing key individuals in each area to access Mazevo using their CUNYfirst credentials. Training for administrators is being scheduled, with sessions planned for late September through early October. We aim to GoLive with the system in October.
More details will be shared soon.
Tempo – QLESS Upgrade
Qless is the school’s customer service flow manager, used in the Welcome Center and various student offices. It allows visitors to join a virtual line from anywhere on campus, making it easy to access services from multiple departments. During the recent semester start, Qless managed over 4,000 visitors, with more than 2,000 in a single day.
You don’t need to visit a kiosk to join the queue—you can use any mobile device and receive notifications about wait times, along with various contact options for service.
We’re excited to announce a major Qless upgrade called “Tempo.” This new version offers real-time queue insights and historical data analysis, which will help departments improve their service assessments. It also provides greater flexibility, allowing us to customize kiosks to meet the specific needs of different departments.
Live demos, workshops, and training for this upgrade are scheduled for November and December, with a planned GoLive in 2025. More details will be shared soon.
