As technology continues to advance, artificial intelligence (AI) tools are increasingly being used to enhance productivity, including during meetings. While these tools can be beneficial, it is essential to recognize the importance of safeguarding data security and ensuring accuracy in any outputs generated through AI.
When using AI-enabled services, especially in cloud storage, we must remain vigilant about data security. Many AI tools process, store, and sometimes share data across external servers, which may pose a risk to sensitive information. As members of the York College community, please be mindful of the type of data shared when using AI in meetings, especially data that may contain personally identifiable information (PII) or confidential college-related information. Only authorized cloud platforms that comply with our college’s data security policies should be used, and extra caution is advised with any platform not officially sanctioned by Central Office .
The Importance of Accuracy Checks
AI tools are designed to assist us but may not always be completely accurate. This is particularly crucial in scenarios where meeting notes, summaries, or analysis are generated by AI. Please verify all AI-generated content for accuracy and context, as errors or misunderstandings in recorded information could impact decision-making and project outcomes.
Our Commitment to Safe AI Practices
We are committed to supporting innovative technology solutions that enhance our productivity while protecting our data and maintaining our commitment to accuracy and integrity.
Further guidelines on recommended AI platforms and security protocols will be provided in upcoming communications.
Thank you for your attention to these important aspects of using AI in our college operations. Together, we can harness the benefits of AI responsibly and ensure a secure and accurate digital environment for everyone.
