Dear York College Community,
As part of our ongoing commitment to continuous improvement, below find some of our critical projects and initiatives and their impacts:
Active IT Projects (Summer–Fall 2025)
1. New Computer Deployment
Description: Distribution of new PCs, Macs, and laptops to replace outdated systems. We are working with the Central Office who have approved a mass procurement of systems of which we provided the numbers needed for our share. We do not have an ETA on those systems, but we continue to deploy what we do have in inventory from a contingency effort approved earlier this year.
Timeline: Computer refresh is ongoing; many offices have already had systems replaced and this process will continue.
Status: Partial delivery of new systems received; prioritized deployments in progress, we are expecting more computers to be delivered shortly, and the refresh will continue. Replacements are based on systems that no longer work, out of warranty units, and units that will not support Windows 11.
Impact: Supports Windows 11 migration and modern desktop environment.
2. Windows 11 Migration
Description: Upgrade of all campus computers to Windows 11.
Timeline: This project started back in 2024 and continues, with more than 2,800 systems we are 85% completed.
Status: The deadline for completion is October 2025. The challenge is not finishing but the 300 or so computers that cannot be upgraded because of their age and the timing of having new computers arrive. We will get an extension on the deadline as will many of the other campuses in similar situations. This will allow for the arrival of new replacements that will already have Windows 11 later in the year.
Impact: Supports the security of our environment as Windows 10 without the extension for support are a cybersecurity risk. Thankfully we will be covered.
3. Student Loaner Laptop Pilot
Description: Launching a pilot loaner program to provide laptops for students with short-term needs.
Timeline: Fall Semester, after start; announcements to go out to students second week of September.
Status: Laptops are ready; IT is currently fine-tuning the submission process. We expect to have a communication out to students with key information on the new process for submission, pick up, drop off, and reservation policies once the semester begins and students are settled.
Impact: Supports equity and offers flexibility for remote learning. As a pilot, inventory is limited but turnaround reservation options will have units available.
4. WiFi Expansion & Upgrades
Description: Improving wireless access points across classrooms and learning spaces.
Timeline: In progress; hardware upgrades began in the Spring, major rollout from October 2025 through Spring 2026.
Status: We are currently negotiating the wiring component which is part of this project and expect to continue with the plan.
Impact: Stronger and more reliable WiFi connectivity campus-wide.
5. Xerox Copier Fleet Replacement
Description: Campus-wide refresh of Xerox copier systems.
Timeline: Began June 2025; completion by February 2026.
Status: Campus-wide survey completed by Xerox and IT; floor plan mappings currently being updated for deployments. Scheduling of department visits by IT to introduce deployment plan after semester start in September, schedules, and some training. Much of the units are similar, just updated, functional, and new.
Impact: More reliable and productive print services including reporting and output management.
6. Smart Room Technology Refresh
Description: Many of the smart rooms have had their computers replaced with special models dedicated to supporting the audio-visual technology in these rooms. Additional large display screens were added to more rooms. This will continue as the schedule permits. These large displays replace the need for projectors and double as whiteboards and touch screens. We expect to bring back the faculty database which informs all faculty of what is in the smart classrooms, including a web link to information on how each room is configured for reference. The refresh of these rooms is an ongoing project, and updates will be provided as progress is made.
Timeline: Summer 2025.
Status: On schedule – Faculty email scheduled to go out Friday, August 22nd.
Impact: Improves communications on rooms state and in-classroom technology.
7. QLESS Virtual Queue Upgrade
Description: New update to virtual line system with custom service pages for students and new updated kiosk options for departments.
Timeline: Customization and training planned for early Fall 2025 right after the start of the semester has settled, with staggered rollout planned October 2025.
Status: System configured and in testing; training and input from staff to be scheduled after fall semester start.
Impact: Enhances student service efficiency and communication between students, departments, and IT.
Completed Projects 2025
IT Backend Support Relocation July 2025
Our Web, Networking, Server and Applications administrator teams have moved from the H-wing of the Academic Core to the IT Support Center location at AC-1G01 and AC-1F22. All of IT is now under one location for the most part. We are still having to maintain engineers at the AC-1H07 since that is the location of our primary server farm.
Here are the best ways to make contact and get the technology support you deserve:
