As our campus community comes together for a new academic year, York College Information Technology is excited to partner with you in teaching, learning, research, and service. Whether you are returning or joining us for the first time, we are committed to creating a technology environment that is reliable, innovative, and student-centered.
This year, we are expanding digital resources, strengthening cybersecurity, and introducing new initiatives designed to enhance classroom experiences, streamline student services, and support faculty and staff in their important work. IT continues to be an essential part of York’s mission, and we look forward to working alongside you to make this semester one of progress, innovation, and success.
New & Ongoing Initiatives
Computer Refresh & Windows 11 Migration
We are actively modernizing our technology environment by replacing outdated systems and upgrading the campus to Windows 11. Most offices have already transitioned to Windows 11 on refreshed hardware, and this effort also includes student computing systems. Another large wave of new computers is expected in the coming months, which will allow us to continue this refresh and address remaining needs.
For machines still running Windows 10, York has secured a Microsoft provision that extends support beyond the official end-of-support deadline. This ensures continuity while we complete the transition to new systems. Our goal is to have all computers fully renewed by the start of Fall 2026, with priority given to replacing systems in the most critical condition. We expect to have all computers on Windows 11 by the end of this year.
Computer Refresh for Student Labs and Student Areas
IT is actively working with CUNY Central on a complete refresh of all student areas on campus. This work started at the beginning of this summer and as of yesterday the survey data gathered has been refined and updated since Central came back with additional details they shared with the campus Interim AVP/CIO boosting our confidence for getting the computers in sooner rather than later. There is more to come on this one.
Laptop Loaner Pilot Program
Launching this fall, York’s Laptop Loaner Pilot Program provides short-term laptop access to students, helping to ensure equity and flexibility in learning. The program is designed to support students who may not have consistent access to reliable technology or have special assignments requiring use of technology on a temporary basis, offering them the tools they need to stay engaged with coursework both on and off campus.
We are finalizing the loaner policy and will be publishing clear guidelines, so students know what options are available, where to go for assistance, and how to make the most of the program. Because the number of systems is limited, availability will be managed by a reservation system which will be part of the communication going out to students this month. This pilot represents an important step in expanding access to technology resources, and we will continue to refine and improve it based on student feedback and usage patterns.
Wireless Network Upgrades
Major upgrades are underway to significantly strengthen wireless coverage across classrooms and learning spaces. This initiative is part of a multi-phase plan that has already started with the replacement of all older models of WIFI devices that ensure all students, faculty, and staff have fast, reliable, and secure connectivity to support teaching, learning, and research. The rollout will continue through Spring 2026, with priority given to high-demand academic areas to maximize impact. This also includes outside underserved areas of the campus where our students gather. Once completed, the upgraded wireless infrastructure will provide a stronger foundation for digital learning, collaboration tools, and the growing use of mobile and smart classroom technologies on campus.
Xerox Copier Fleet Replacement
A new fleet of Xerox devices is being scheduled for deployment across campus, replacing outdated models with more reliable and efficient machines. The updated copiers bring improved functionality, enhanced security, and streamlined integration with campus systems. In addition to better performance, departments will benefit from expanded training and dedicated support to ensure faculty and staff can make full use of the new features. This initiative will reduce downtime, improve service consistency, and provide a more sustainable and cost-effective printing environment for the campus community. A finalization meeting is scheduled for this Friday with Xerox to confirm delivery. IT will be working with each department to schedule the swaps and disposals afterwards of the existing units.
Classroom Technology Enhancements
More classrooms are now equipped with large interactive displays and upgraded instructional systems, giving faculty new tools to enhance teaching and student engagement. We will continue the refresh of all the classrooms as we are phasing out the use of Projectors. We will be ordering another wave of these large interactive displays and will continue to schedule and work with our partners in Buildings and Grounds, Public Safety, Facilities and Academic Affairs in order to meet our goal of an additional 10 more rooms upgraded to this modern technology.
QLess Virtual Queue Upgrade
The QLess virtual queuing system is being upgraded to provide students with faster, simpler, and more convenient access to campus services. New kiosks and custom-designed service pages will make it easier for students to join queues; check wait times and receive updates directly on their mobile devices. In addition to improving the student experience, these upgrades streamline departmental workflows by reducing bottlenecks, eliminating paper-based sign-ins, and providing real-time data to help staff manage demand more effectively. The enhancements will allow offices to serve more students with greater efficiency while giving students the flexibility to manage their time and avoid physical lines.
Student Government Lab Reopening
IT has been working with the Student Government in order to reopen the Student Government Lab with consistent hours and dedicated staff support to provide students with a reliable space for technology access and assistance. The lab will serve as a hub where students can get help with onboarding tasks, troubleshoot technology challenges, and connect to the digital resources they need to succeed. By maintaining regular operating hours and ensuring trained staff are available, the lab will strengthen student support services, reduce barriers to access, and create a welcoming environment for students who may need extra guidance in navigating York’s technology resources. This initiative underscores IT’s commitment to meeting students where they are and ensuring they have the tools and support to thrive academically. The schedule has been received and we are in the process of onboarding the support staff. We expect to open week of September 22nd.
CUNYfirst Multi-Factor Authentication (MFA)
To strengthen account security and protect institutional data, CUNYfirst Multi-Factor Authentication (MFA) continues to roll out at York College. Over 80% of faculty and staff have already activated MFA, and the remaining group will be notified today to complete activation before the next September deadline. IT will host pop-up support sessions, with dates and locations announced shortly, to ensure anyone needing assistance can get help. Faculty and staff with special needs should contact IT as soon as possible, since alternative options are limited and require additional time.
Student rollout begins in October, with groups notified in phases. Many students have already activated, helping accelerate progress. IT will provide guidance, training, and on-campus support— including pop-ups and ambassador-led assistance— to ensure a smooth experience. This campus-wide effort reflects York’s commitment to safeguarding digital identities and maintaining a secure learning and working environment.
Cybersecurity Awareness Training 2025–26
This annual training is a critical component of our effort to safeguard the college community against evolving cyber threats. All faculty, staff, and students are encouraged to complete the training to strengthen their knowledge of best practices, including how to recognize phishing attempts, protect personal and institutional data, and respond appropriately to potential incidents. By participating, each member of our community plays an important role in protecting York’s digital environment and ensuring a secure foundation for teaching, learning, and research. October is Cybersecurity Awareness Month and we would like to invite everyone to complete their training as a show of unity for security on our campus.
Introduction to Workday
CUNY has begun the multi-year transition to Workday, the new system that will eventually replace the Human Capital Management (HCM) and Finance pillars currently managed in CUNYfirst. While the full implementation is not expected until 2027, planning and early-phase activities are already underway across the University. At York College, a dedicated team lead by the VP of Finance and Administrative Affairs, HR, and IT has been engaged in this important project, contributing to discovery, testing, and planning efforts that will shape how the new system supports our community. Workday will bring modern, streamlined tools for managing finance, HR, and related processes, improving efficiency and user experience. This is still the beginning of the journey, but York is well positioned to help guide the process and prepare our campus for a smooth transition when the time comes.
IT Department Relocation
The Information Technology department has recently relocated to a new space (AC-1G01) designed to better serve the York College community. This move provides upgraded facilities, improved infrastructure, and a centralized location to support students, faculty, and staff more effectively. The relocation is more than a change of address—it strengthens IT’s ability to deliver responsive support, collaborate across teams, and host training or troubleshooting sessions in a space built for campus needs. While the Welcome Center in the Academic Core remains the destination for walk-in IT support, our new location now houses:

Big Plans for 2025–2026
YorkGPT AI Rollout
With the infrastructure and testing phases now complete, York College will begin operational use of YorkGPT, our customized artificial intelligence platform. Initial projects include chatbots tailored for specific webpages and a general GPT tool on the York website to answer campus inquiries. These tools will enhance access to information, provide faster responses, and support a more consistent digital experience for students, faculty, and staff. Schedule for late December 2025
D.A.S.H. (Dynamic AI Student Helper)
A pilot program called D.A.S.H. will leverage YorkGPT to support student onboarding and pre-class checklists. This initiative aims to standardize information across student support offices, helping students complete required steps more easily and ensuring consistency in guidance as they begin their York journey. Pilot proof of concept slated for January 2026
New IT Administrator Role
The IT department is introducing a new IT Administrator position to serve not only IT but also as a liaison between IT and administrators across all campus offices. This role will focus on improving communication, supporting the adoption of critical technology tools, and leading workshops tailored to administrative needs. The goal is to streamline day-to-day operations, introduce underutilized tools, and strengthen collaboration across administrative functions while helping IT with many important administrative tasks. Campus-Wide IT Workshops
Starting this year, IT will host open workshops twice a month as live Microsoft Teams sessions. These workshops will cover a variety of practical “how-to” topics over a period of time and provide helpful tips on commonly used technologies and feedback we receive from surveys that will go out that gauge support needs in our community. Sessions will be announced in advance, and all members of the York community are encouraged to participate. This initiative ensures ongoing support and professional development opportunities for faculty, staff, and students. Starting in November of 2025
Proximity Communication Pilot
Building on last year’s testing, IT will launch a live pilot of proximity-based communication in the new cafeteria. This technology allows users who opt in to receive real-time alerts and information directly on their mobile devices as they pass by specific campus locations. Early adopters will provide feedback to refine the system, with a long-term vision of deploying location-based, in-the-moment communications across campus. The goal is to create a connected experience where timely information is always at students’ and staff’s fingertips. Started now, expected cafeteria target late October
