Dear Faculty and Staff of York College, Please be reminded that CUNY-related business must be conducted using your official CUNY email account and not through personal email accounts. Using personal email for College or University business may seem convenient, but it creates serious security, privacy, records management, and legal concerns. Personal email accounts are outside of CUNY’s managed environment and may not have the same protections, retention controls, access safeguards, or security monitoring as CUNY-provided accounts. There are also important legal and compliance considerations. If CUNY business is conducted through a personal email account, those communications may become subject to review, records requests, FOIL obligations, litigation holds, subpoenas, or discovery. In some situations, this could expose not just the individual message, but potentially a broader portion of the personal email account or mailbox if it becomes relevant to a legal or investigatory matter. Please help protect yourself, your department, our students, and the University by using your official CUNY email account for all CUNY-related communications. Employees should never forward CUNY email to personal email accounts or use personal accounts as a workaround for conducting University business. Thank you for your cooperation and for helping us maintain a secure, compliant, and professional communication environment.
